Trial Device Support: Your Step-by-Step Guide

Your communication device trial experience helps you find the best fit for your needs. This page provides quick answers, helpful resources, and clear steps to guide you through the trial process—from start to finish.

Before Your Trial

  • Confirm you’re working with a Speech-Language Pathologist (SLP). It is important to have regular visits with them during the trial.
  • Request your trial device by creating an application. Make sure to fill out all the sections. You will need your insurance cards.
  • Call your insurance to understand your coverage options. Use these Insurance Tips.
  • Complete an intake call. Our team will contact you to confirm information and place the order. Watch for calls from PRC-Saltillo, 330 (OH) area code.

During the Device Trial

  • Keep the box somewhere safe for easy return shipping.
  • Check the return date on the device tag and plan to mail it back on or before that date.
  • Charge your device and locate accessories in the box, like keyguards or device mounts. Have a wheelchair mount? Learn about mounting installation.
  • Load a vocabulary and customize it. It's easy with our step by step guides.
  • Get support and schedule a meeting with your AAC Consultant and /or SLP.
  • Use the device often. Try modeling—a proven communication strategy. Take the parent-focused training today
  • Collect data to support your purchase and meet insurance requirements: data collection sheet.

If your device is damaged, no worries. Contact our Service Department for fastest resolution. Call 800-262-1984 and choose, option 3.

After Your Trial

  • Back up your customized vocabulary using the USB drive included in the box. Keep the USB drive to load your vocabulary onto your new device. Back up instructions:
  • Return the device on time using the prepaid shipping label included in the box. You can drop it off at a convenient FedEx Drop Box or call us for help: 800.262.1984, option 0.
  • Share your decision. When you’re ready, log in to your account at AACFunding.com to share your decision about purchasing the device. It’s important to talk it over with your SLP first. Your PRC-Saltillo AAC Consultant is here to support you if you have questions or aren’t sure what to decide.
  • Start the purchase paperwork. When you log in to AACFunding.com, you’ll see the forms needed to move forward, including an evaluation from your SLP, documentation from your doctor, and a few additional items. If you’re seeing the doctor soon, make sure you tell them about the AAC Device and ask them to add a note to the visit notes.

Trialing a communication device gives your family time to use it in real life—at home, school, and everywhere in between—so you can be confident it fits your child’s needs, works well for access and vocabulary, and supports insurance approval.

Trials are typically 4 weeks, but timelines may vary based on your insurance.

Returning the device is easy. Follow the instructions in the box. Use the prepaid shipping label and drop the device off at a FedEx location near you. Need help? Your Trial Program Specialist is happy to assist. 

If the device isn’t meeting your needs, talk to your SLP and AAC Consultant right away so they can help you find the best fit. You may need to try another vocabulary, discuss settings, or consider another device.

We appreciate your desire to keep the trial device. This isn’t possible, as other families are waiting to try it out. Returning it on time helps ensure everyone has access. Let us know if you need support during the transition.

Paperwork varies by insurance. Typically you need an evaluation from the SLP, documentation from the doctor, and other insurance-specific forms. Our team can help you with this process.

If insurance denies coverage, our team can support the SLP and family to write and submit an appeal letter or consider alternate funding.

The length of time varies based on the insurance company and whether there we are missing information in the initial packet. This process does take time, and the more you are involved the faster it becomes.
